See which licences a user has

One request lists what is assigned to somebody. It is the starting point for every other licensing question, including what to remove when they leave.

Asking what licences somebody has returns everything assigned to them. Nothing is changed by asking, so it is the safe first step in any licensing question.

Finance asks this as often as IT does, usually to find out what a leaver is still costing.

Run it before removing anything as well, because removing licences by guesswork is how somebody loses their mailbox.

Before you begin

Have the person’s email address.

Know what you are going to do with the answer. Auditing cost and preparing an offboarding read the same list differently.

Ask Avvi

  1. Open chat and check the client.
  2. Ask what licences the person has. For example: what licences does jane@example.com have?
  3. Read the list.

Avvi returns the licences assigned to that person.

Good to know

A licence assigned is not the same as a licence being used. Somebody can hold an expensive licence and never open the application it pays for.

Removing a licence removes what it provides, which for a mail licence includes their mailbox. Check what a licence carries before taking it away.

Verify it worked

Compare the list against what you expected the person to have.

For a leaver, check this before the disable rather than after, because a permanent disable can release the licences and leave you guessing what they had.

If something doesn’t look right

If the person has nothing and should, confirm the email address and the client.

If a licence you expected is missing, they may have been removed already. The record shows when and by whom.

If the answer names licences by unfamiliar codes, look the code up in the Microsoft 365 admin centre. Avvi cannot list what a licence contains.
