Create a new user account
A plain create gives you a blank account with no groups and no licences. Asking for an account like an existing colleague copies both in one go.
Asking Avvi to create a user gives you a blank account. No group memberships and no licences come with it, so the person can sign in and do very little.
Asking for an account like an existing colleague is a different request, and it copies the groups and the licences as part of the same action.
Choosing between those two at the start is what avoids a round of clean-up afterwards.
Before you begin
Decide whether the new starter matches somebody already in the business. If they do, name that person in the request.
Have the display name and the sign-in address ready. Getting the sign-in address right first time avoids a rename later.
Ask Avvi
- Open chat.
- For a blank account, say what you want. For example: create a user for Jane Doe, jane@example.com.
- For a copy of somebody’s setup, name the template person. For example: create a user for Jane Doe like Sarah Smith.
- On a blank create, answer the password question. Avvi asks whether you want a temporary password the person must change at first sign-in, or a permanent one you supply.
- Read the confirmation, then confirm.
Avvi reports the account it created and, for a copy, what it brought across.
Good to know
A copy brings across every group membership and every licence the template person has. That includes anything you would rather it did not, so pick a template you would be happy to audit.
Where your own access is limited to particular user groups, a copy carries only the groups you are allowed to manage. The rest are left off without being reported.
A blank account needs the groups and the licence added afterwards as separate requests.
A copied account always gets a temporary password the person must change at first sign-in. Choosing a permanent password is only possible on a blank create.
Verify it worked
Ask Avvi to show the new account’s licences and groups.
For a copy, compare that against the template person. They should match.
If something doesn’t look right
If the account exists but has nothing attached, the request was probably read as a blank create. Ask Avvi to add the groups and the licence, or to match the account to the template person.
If a licence did not come across, check whether any are available in the tenant. Nothing can be assigned from an exhausted subscription.
If the sign-in address is wrong, ask Avvi to change it rather than creating a second account.
If the create itself failed, open a support conversation from the Help drawer. Include the client name, the sign-in address you asked for, and what Avvi reported.
FAQ
Q: Does the new person get an email about the account?
A: Not from Avvi. Give them the sign-in address and the password yourself.
Q: How do I send the password safely?
A: Avvi can create a link that expires and limits how many times it can be opened, which is safer than sending it in an email.
Q: Can I change the sign-in address later?
A: Yes, ask Avvi to change it. Getting it right at creation is still less work.
